CrewLayout

Terms of use

Effective September 28, 2026. Plain English.

1. The agreement

These terms are an agreement between you and CrewLayout (“CrewLayout”, “we”, “us”) for using crewlayout.com and the CrewLayout app (the “Service”). By creating a shop, subscribing, or using the Service, you agree to these terms and our Privacy Policy. If you sign up for a business, you confirm you’re allowed to accept these terms for it, and “you” means that business. CrewLayout is for businesses only, and you must be at least 18 to use it.

2. What CrewLayout is

CrewLayout is an iPhone app for trade shops. It covers jobs and customers, estimates and invoices, AI-assisted scope writing (“Write Scope”), job photos and notes, materials, and crew clock-in and clock-out with a company code and PIN. We’re still early, so features may change, be added, or be removed. We’ll try to give notice before removing anything important.

3. Your account and your crew

The shop owner is responsible for the owner login and for everything done under the shop’s account, including by crew. Keep your password, company code, and crew PINs private. Remove workers who leave, and use a screen lock on phones that open the app. Tell us right away at crewlayout.com@gmail.com if you think someone got into your account without permission. Please use a business email you control for the owner login.

4. Subscription in the iPhone app

In the iPhone app, the CrewLayout Subscription is bought and managed through Apple In-App Purchase and is billed to your Apple ID. The price, any free trial and the renewal period are shown in the app before you buy. It renews automatically unless you cancel at least 24 hours before the end of the current period.

To cancel or manage it, open iOS Settings → your name (Apple ID) → Subscriptions → CrewLayout. Refunds for App Store purchases are handled by Apple under its terms. One subscription covers your shop and its crew.

4. Price, automatic renewal, and cancellation

Shop plan: $80 per month. Your subscription renews automatically every month, and we charge the card on file $80 on the same day each month until you cancel. There are no setup fees, per-user fees, or other hidden charges. Prices don’t include any taxes that the law may require.

7-day free trial. New shops that sign up online get a 7-day free trial. You add a card when you start. If you don’t cancel before the trial ends, we charge $80 on day 8 and then every month until you cancel. We email you a reminder 3 days before the first charge. Cancel during the trial and you won’t be charged at all. One trial per shop.

Cancel anytime, online. In the app, go to Settings → Billing → Manage or cancel plan. From any device, go to crewlayout.com/cancel, enter your account email, and we will email you a one-time link to cancel in a couple of taps. You can also email crewlayout.com@gmail.com from the account email and we will cancel for you. We confirm every cancellation by email.

What happens when you cancel: you won’t be charged again. You keep access until the end of the month you already paid for. We don’t give refunds for partial months. If the law requires a refund, we will give one.

Price changes: we will email you at least 30 days before any price change and tell you how to cancel. The new price applies starting with your next billing date after the notice period.

Failed payments: if a payment fails, we’ll let you know. We may pause access if it isn’t fixed within 14 days.

4a. Customer payments

In the iPhone app you record how customers paid (cash, check or other) and mark invoices Paid yourself. If an invoice your shop sends includes a Pay now link, Stripe processes that payment and pays it out to your shop’s connected bank account. CrewLayout does not take a cut of job payments, and you are the merchant of record for them.

4a. Customer card payments (optional)

If you turn on Card payments in Settings, CrewLayout uses Stripe Connect so your customers can pay an invoice by card (or other methods Stripe offers) through a Pay now link. Stripe processes the payment. Money is paid out to the bank account you connect in Stripe. CrewLayout does not take a cut of these job payments. Stripe charges its own processing fee (about 2.9% + 30¢ for cards; bank transfer rates differ). You are the merchant of record for those payments. Card payments are optional; you can keep using cash, check, or mark Paid yourself. Refunds are handled in your Stripe Express Dashboard. Turning card payments off stops new Pay now links; it does not cancel your Shop plan.

5. Your data

Your shop owns its data: customers, jobs, photos, invoices, and crew hours. You give us permission to store, copy, and process it only as needed to run and support the Service for you. You are responsible for having the right to put that information into CrewLayout, including your customers’ and crew’s information. Before your data is deleted, you can ask for an export by emailing crewlayout.com@gmail.com. We delete shop data within 30 days after cancellation, and backups within 30 more days, as described in our Privacy Policy.

6. Acceptable use

Don’t use CrewLayout to break the law or anyone’s rights, send spam or unwanted messages, upload malware, try to reach other shops’ data, get around security or billing, overload or reverse-engineer the Service, or resell it without our written permission.

7. AI-written scopes and estimates

Write Scope uses an outside AI provider to turn your notes into draft text. AI drafts can be wrong or incomplete. They can leave out work, get code or material details wrong, or misstate hours or amounts. Always read and fix every scope, estimate, and invoice before you send it. Once you send it, it is your document. We are not responsible for what an AI draft says after you send it.

8. Running your business is your job

CrewLayout is a tool. It doesn’t replace your license, insurance, or professional judgment. You are responsible for your prices, taxes, contractor licensing, permits and inspections, contracts, and the work itself. You are also responsible for every message you send to customers from your phone or email, including having their permission to text them.

Crew hours: CrewLayout is not payroll or a timekeeping system of record; the shop is responsible for complying with wage, hour, meal and rest break laws. Clock features are convenience tools. Any automatic lunch deduction is an optional owner setting. It is off by default, and when the owner turns it on, it applies only to punches from then on. The shop decides whether to use it and is responsible for meal and rest break compliance. Check that recorded hours and breaks match what actually happened before you pay anyone.

9. Other companies’ services

CrewLayout relies on other companies for hosting, data storage, payments, email, and AI (see our Privacy Policy). Features that open your phone’s texting, email, or maps apps use those apps under their own terms. We aren’t responsible for other companies’ services.

10. No warranty

THE SERVICE IS PROVIDED “AS IS” AND “AS AVAILABLE.” TO THE FULLEST EXTENT THE LAW ALLOWS, WE DISCLAIM ALL WARRANTIES, WHETHER EXPRESS OR IMPLIED, INCLUDING WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT. WE DON’T PROMISE THAT THE SERVICE WILL ALWAYS BE AVAILABLE, BE ERROR-FREE, OR NEVER LOSE DATA. Keep your own copies of important records.

11. Limit on our liability

TO THE FULLEST EXTENT THE LAW ALLOWS, CREWLAYOUT WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR FOR LOST PROFITS, REVENUE, DATA, OR BUSINESS. OUR TOTAL LIABILITY FOR ANY CLAIM RELATED TO THE SERVICE IS LIMITED TO THE AMOUNT YOU PAID US IN THE 12 MONTHS BEFORE THE CLAIM AROSE. Some places don’t allow some of these limits. Where that’s the case, these limits apply only as far as the law allows.

12. Indemnity

If someone makes a claim against CrewLayout because of your business, your work, your documents or messages, your crew’s pay or hours, your data, or your breaking these terms or the law, you agree to defend and cover CrewLayout for reasonable losses and costs, including attorneys’ fees.

13. Suspension and termination

You can stop using CrewLayout and cancel at any time (see section 4). We may suspend or close an account that breaks these terms, doesn’t pay, or puts the Service or other users at risk. Where reasonable, we will warn you first and give you a chance to get a copy of your data. If we shut down the Service entirely, we will give at least 30 days’ notice and refund any prepaid time you didn’t get to use. Sections 5 and 7 through 15 continue to apply after the account closes.

14. California law

California law governs these terms, without regard to conflict-of-law rules. Any dispute will be decided in the state or federal courts for Sonoma County, California, and you and we agree to those courts’ jurisdiction. Before filing anything, please email us so we can try to work it out.

15. Changes and the rest

We may update these terms. We will post the new version here with a new effective date. For important changes, we will email shop owners or show a notice in the app at least 15 days before the change takes effect. If you keep using the Service after that, you accept the change. If you don’t agree, you can cancel before it takes effect. These terms and the Privacy Policy are the whole agreement between us. If a court finds part of these terms can’t be enforced, the rest still applies. If we don’t enforce a term right away, we haven’t given up the right to enforce it later. You can’t transfer this agreement without our permission. We may transfer it as part of a sale or merger of the business.
